Hours:40 hours per week, flexible but must include OutReach business hours (Mon. – Fri., 12:00 – 7:00pm).

Classification:Non-exempt

Position Summary: The Grants Manager is an integral part of OutReach’s administrative team, providing assistance to the Internal Account, Executive Director, and External Accountant in administering grant funding, developing and ensuring compliance with grant budgets, and providing other administrative and financial support as needed.

Position Responsibilities and Essential Duties

  • Manage grant budget and compliance tracking of income and expenses for a variety of projects and programs with funding from federal, state, and local governments, private foundations, and other funding sources.
  • Track grant reporting requirements as defined by grant contracts and ensure timely submission of grant compliance reports in collaboration with Executive Director, Program Director, Internal Accountant, External Accountant, and program staff.

  • Manage a centralized database of OutReach’s current grants and coordinate reporting deadlines to insure grant compliance requirements are met.

  • Prepare financial reports on grant progress, funding status, and other topics as required.

  • Assist Internal Accountant and External Accountant with budgeting and bookkeeping functions related to grant and budget management.

  • Work with Executive Director, program staff, and grant writing consultant as needed to prepare grant applications, with a focus on budgeting.

  • Assist with annual audit preparation and audit compliance pertaining to grants.

  • Participate in staff meetings, and work with the OutReach team to manage our community center.

  • Assist in the planning and day-of coordination of special events and programs organized by OutReach such as the Magic Pride Festival.

  • Additional duties as assigned by supervisor.

​Qualifications and Requirements

  • 1+ year of experience in financial administration, grant management, or another closely related field required.

  • Highly organized and able to track and manage deadlines and other internal processes within a team of collaborators.

  • Familiarity with software such as monday.com or QuickBooks preferred.

  • Experience with federal funding preferred.

  • Experience engaging with a diverse population, including people of color and LGBTQ+ people, and strong interpersonal skills with an emphasis on professional and personal boundaries and mindfulness of power dynamics and personal biases.

  • Computer experience, including proficiency in Microsoft Office suite and Microsoft 365.

Occasional travel is primarily local (within Dane County).

Physical Demand/Work Environment:

Physical Demands: The physical demands and work environment described here are representative to those an employee encounters while performing the essential functions of this job. While performing the duties of this job the employee is regularly required to use hands, reach with hands and arms, talk and hear. The employee will also walk, sit, stoop, kneel, crouch and lift and/or move up to 30 pounds. Vision requirements including close vision, distant vision, peripheral vision, depth perception and ability to focus.

Work Environment: This employee will work in a professional office environment, which requires use of standard office equipment like computers, phones, copiers/printers, and filing cabinets. This employee may also work outside in variable weather conditions as part of community outreach activities and be exposed to a variety of conditions, including light and noise levels, at client sites.

Hours: This is a full-time position and core hours and days must occur during OutReach LGBTQ+ Community Center’s business hours Monday through Friday from 12:00pm through 7:00pm., with occasional evening and weekend hours.

Compensation:$26-$28/hour, including a generous benefits package.
